JOB SUMMARY
Under the general supervision of a higher classified employee, this grant funded position is responsible for providing support to programmatic operations for the Barrier Busters. Responds to program concerns and requests, troubleshoots with staff and community organizations as needed. Tracks and compiles data for monthly, quarterly, and annual reports. Assist with data input into secured databases/client management systems. Assures compliance with federal, state, local and Washtenaw County requirements for emergency assistance funds. Tracks and manages all household files relating to funder requirements. Supports monitoring efforts to assure compliance and achievement of program objectives.
EXAMPLES OF DUTIES
Essential Duties:

  • Under the supervision of the Human Services Supervisor, coordinates communications for the Barrier Busters programming, including for listserv, database/case management tracking systems, web site and program events.
  • Organizes and facilitates monthly professional development meetings for the Barrier Busters coalition.
  • Assists in the preparation and submission of various reports to the departmental leadership, program funder, and other organizations for agency oversight and program improvement.
  • Supports monitoring efforts and evaluates program effectiveness in meeting established community outcomes; supports the development and implementation of procedural improvements.
  • Processes and track program expenditures.
  • Supports program compliance with federal, state, and local regulations as applicable. Enters data into database tracking systems and runs reports to monitor progress and for external funders. Prepares files and records.
  • Supports monitoring efforts for program compliance and operations through social service partner trainings, compliance checking, and program evaluation.
  • Communicates regularly with partners and vendors regarding services rendered through the Barrier Busters program. Troubleshoots with staff, clients, and member agencies regarding programmatic issues that arise.
  • Provides customer service to the public and staff requiring knowledge of program functions; handles customer complaints in an efficient and effective manner to minimize future concerns; identifies and initiates appropriate appeal processes for customer use.
  • Acts as liaison between the department and Barrier Busters member agencies.
  • Provides general human service resource and referral information to residents contacting the department.
  • Supports monitoring and enforcement policies, procedures with member agencies, contractors, and staff.
  • Provides training to member agencies regarding program operations, regulations and requirements. Coordinates program related required training.
  • Performs other related duties as assigned.

Knowledge, Skills and Abilities:

  • Interpersonal and communication skills (written and oral) to interact effectively with individuals and agencies involved in related programs.
  • Ability to prepare clear, concise, and effective written materials.
  • Ability to collect, analyzing and evaluate varied information and data.
  • Ability to maintain accurate records and files; and enter and retrieve information from a computer with sufficient speed and accuracy to perform the required work.
  • Ability to set priorities, using judgment to coordinate multiple projects and meet deadlines.

LICENSES AND CERTIFICATIONS
  • Specified positions may require possession of a valid Michigan driver's license.
PHYSICAL DEMANDS
  • Duties require sufficient mobility to work in a normal office setting and use standard office equipment including a computer, vision to read printed materials and a computer monitor and hearing and speech sufficient to communicate in person or over the telephone.

EDUCATION
  • Equivalent to an associate's degree in social work or closely related field.
EXPERIENCE
  • A minimum of one (1) years of experience working with low-income households on intake, counseling, or advocacy. Additional past administrative, program evaluation, or operational support with community-based agencies is desirable.
  • Preference will be given to candidates with working knowledge of local social services ecosystem, database/client management systems, and/or program evaluation.
