JOB SUMMARY
Under the supervision of a higher classified employee, performs a variety of work with a high degree of accuracy and independent judgment specific to vaccine management. Work may include, but is not limited to, providing quality assurance for vaccine inventory, coordinating with medical providers who administer vaccine within the community and providing data entry / reports into varied electronic applications.
EXAMPLES OF DUTIES
Essential Duties:

  • Processes complicated clerical administrative records and reports unique to the department assigned.
  • Trains or explains departmental procedures to lower level workers. May assist in distributing work, determining priorities, and monitoring schedules and deadlines.
  • Answers inquiries and resolves problems involving the application or interpretation of departmental policies and procedures.
  • Selects, organizes and summarizes information for regular and special reports, using some discretion as to content and format.
  • Types correspondence, reports, agendas, documents, newsletters, and other materials, using some discretion as to content and format. May design and produce master copies of departmental forms.
  • May schedule meetings, notify participants, and prepare and distribute agendas.
  • May take and transcribe dictation or meeting minutes using shorthand or electronic dictation equipment.
  • Data entry into multiple electronic systems.
  • Vaccine quality assurance; proper storage and handling of vaccine.
  • Responsible for balancing inventory and placing vaccine orders.
  • Responsible for maintaining accurate temperatures of vaccine, rotation of vaccine and handles compromised vaccine for Washtenaw County Public Health (WCPH).
  • Works with medical providers to assist with orders.
  • Performs the work of a Senior Clerk Typist and related clerical tasks as assigned.
  • Files yearly WCPH enrollment forms with the State Health Department.
  • Helps to ensure that Vaccine for Children (VFC) providers fill out yearly enrollment forms and flu pre-booking orders in a timely manner.
  • Processes orders; assures temperature logs are accurate, monitors inventory.
  • Handles compromised vaccine.
  • Assists medical providers; including assessing doses administered, ending inventory, adjustments in Michigan Care Improvement Registry (MCIR), assistance with balancing and ordering the correct amount of vaccine.
  • Provides support to immunization clinic including, but not limited to, scheduling appointments, checking clients in to / out of clinic.

PHYSICAL DEMANDS
Duties require sufficient mobility to work in a normal office setting and use standard office equipment including a computer, vision to read printed materials and a VDT screen and hearing and speech sufficient to communicate in person or over the telephone.

EDUCATION
Possession of a high school diploma, or the equivalent.
EXPERIENCE
A minimum of two (2) years of clerical experience. Experience working with medical providers desired. Experience in vaccine storage and handling and/or inventory management is desired.
