JOB SUMMARY
Under the general supervision of a higher classified employee, provides varied, responsible, and independent office administrative, programmatic, and staff support to management staff and executive leadership of the Conviction Integrity and Expungement Unit, which require some independent judgment. Provides training and supervision to interns and temporary support staff. Assists with case preparation, document gathering, and investigation of innocence claims. Performs related work as assigned.
EXAMPLES OF DUTIES
Essential Duties:

  • Receives, screens and routes telephone calls for the Conviction Integrity and Expungement Unit of the Washtenaw County Prosecuting Attorney¿s Office, exercising discretion in the release of information and method and priority of handling. Schedules meetings and appointments.
  • Receives, screens and routes correspondence, reports and information for the Prosecuting Attorney, Chief Assistant Prosecuting Attorney, Conviction Integrity and Expungement Unit Coordinator/Director, and other staff, exercising judgment as to importance and priority.
  • Assists attorneys in preparing cases by collecting background information and evidence, including criminal histories, court documents, official records, photographs, correspondence, and other documentation.
  • Performs a variety of legal office support work such as maintaining records and files, providing information to others, screening, and routing of correspondence, and preparing reports related to the work of the unit.
  • Assists in the work assignment, training and coordination of interns and volunteers that may be utilized by the department.
  • Supports on-boarding and training of interns and performs quality control of intern work-product.
  • Prepares a variety of correspondence, reports, forms, and specialized documents, of both sensitive or confidential and routine natures from drafts, notes, or brief instructions; composes standard correspondence or other materials independently.
  • Operates standard office equipment, including a computer monitor for legal research and word processing; may be required to drive a personal or County vehicle to various locations for interview purposes.
  • Assists in the creation and implementation of performance measures to track grant compliance.
  • Tracks, oversees, and supports the application for, federal, state, and philanthropic grants that support the mission of the Conviction Integrity and Expungement Unit. Responsibilities include, but are not limited to:
  • Determines analytical techniques and information-gathering processes and obtains required information and data for analysis.
  • Prepares a variety of technical, statistical and narrative reports, correspondence and other written materials.
  • Discusses findings with Elected Prosecutor and leadership and assists in implementing changes resulting from studies and analyses.
  • Tracks, oversees, and supports the application for, federal, state, and philanthropic grants that support the mission of the Prosecutor's Office. Responsibilities include, but are not limited to:
  • Identifying appropriate grant opportunities
  • Coordinating meetings with external partners regarding grant opportunities
  • Tracking potential grants and awarded grants, including updating grants matrix, tracking due dates for grant applications, and tracking compliance requirements for awarded grants.
  • Working with community partners and the Prosecutor¿s Office to draft grant applications including narratives, budgets, and letters of support.
  • Prepares, processes and may administer grant funded projects and similar endeavors.
  • Oversees hiring and management of volunteer and paid interns and temporary staff on a project or day-to-day basis.
  • Performs other related duties as assigned.

LICENSES/CERTIFICATIONS
Specified positions may require possession of a valid Michigan driver's license.
PHYSICAL DEMANDS
Duties require sufficient mobility to work in a normal office setting and use standard office equipment including a computer, vision to read printed materials and a computer screen and hearing and speech sufficient to communicate in person or over the telephone.

EDUCATION
Equivalent to completion of two (2) years of college with major coursework in legal technology, paralegal studies, criminal justice, or a field related to the work. Completion of four (4) years of college in a similar field is desirable.
EXPERIENCE
A minimum of one year of administrative and executive support experience involving office management, scheduling, administrative assistance, and coordination duties.
